Guarantee Policy
Confirmation of the number of guests for each function is required five (5) business days in advance. Charges will be based on this minimum guarantee, or the actual guest count, whichever is greater.
Pricing
Menu prices are subject to change without notice. Prices for functions arranged ninety days (90) prior to the event will be honored. A 20% Service Charge and a 6% Sales Tax will be automatically added for your convenience.
Payment
Deposits will be credited to the final bill. The Guarantee amount must be paid five (5) days before the event. The balance of the bill is payable on the date of the function. Final payment must be made by credit card or cash the day of the event.
Menu Planning
In order to assure the availability of all chosen menu items, your menu selections should be submitted thirty (30) days prior to the function date. All Food and Beverage items must be supplied by Hillendale, (Wedding/Specialty cakes are “the” only exception) and no food or liquor can be removed from the premise.
Consuming raw or undercooked meats, poultry, seafood, shellfish or eggs may increase your risk of Food Bourne Illness
Alcohol Information
Hillendale has a liquor license from New York State and must serve all alcoholic beverages. We try to be as flexible as possible in providing the style of service you desire, while maintaining a responsible atmosphere.
Request for shots or double drinks will not be granted. We also reserve the right to refuse alcohol service to any person.
Security
Hillendale will not assume responsibility for damage or loss of any merchandise or articles brought into the facility or for any items left behind.
Hold Harmless
Hillendale shall be excused and held harmless for the failure to perform any obligation here under when prevented from doing so by cause or causes beyond its control which shall include, but not limited to, labor disputes, civil commotion, war, fire, or other casualty, inability to obtain material or impair efforts to properly host a function. In such cases, monies on deposit will be refunded.
Cancellations
A full refund will be permitted for cancellations made three (3) months or more from event date. For Cancellations less than (3) months, if you cancel your reservation and we are able to rebook a reserved date with what we judge to be a comparable event, we will refund any deposits paid, less a non-refundable fee of $175.00. Comparability will be based on the size and scope of both reservations. Due to the lead time in event bookings, early cancellations are much more likely to result in refunds
Cleaning Fee
All items brought into Hillendale must be removed after the event. There will be an additional charge for extra labor if an excessive amount of trash, decorations, or any other items are left behind for our staff to clean up. Hillendale reserve the right to decide what is or is not considered “excessive clean-up”.
Service Fee
There will be set-up & clean-up fee for events starting at $50.00 per hour. Also, a fee of $25.00 per hour, per server will be charged for events over four (4) hours long.
